Client roles are assigned to client users who access the client portal. These roles define the permissions for client users, allowing them to interact with tracks, submit requests, and manage their own data. Administrators can also use client roles to control the visibility of pages, charts, and lists available in the client portal.
Create a New Client Role
To create a client role,
In the Admin Interface, navigate to Client Roles.
A list of existing client roles will be displayed.
Create or Clone:
Click "Create New" to define a new role.
Alternatively, use the Clone option to duplicate an existing role and modify it.
Provide Role Details:
Name: Enter a unique name for the role.
Description: Add a brief description of the roleโs purpose.
Managing Role Permissions
To manage the newly created role, open it to configure its permissions and access.
Add Client Users
Click the "+" icon to add client users to this role.
A list of available users will be displayed for selection.
Page Permissions
For a client to view any page in the portal, their assigned Client Role must have permission to access that page.
To assign permissible pages to the Client Role:
Click the "+" icon.
Select the desired pages from the list.
Click "Add Selected"
Use the "Default Menu" and "Default Page" dropdowns to:
Set a default menu that appears for the user when they log in.
Define the default page that loads as the homepage when the client logs in.
Track Permissions
Add a Track to the Role:
Select the Team and Track from the dropdowns and click Add.
All permissible Tracks will be listed below.
Manage Individual Track Permissions
Click on the specific Track where you want to configure role permissions.
This opens sections where you can manage permissions for different item types within the Track.
Example
To make a List View accessible:
Open the Track.
Go to the "Permissible List Views" section.
Click the "+" icon.
Select the desired List View from the list.
Click "Add Selected" to apply the changes.
Below are the item types within a Track where permissions can be configured:
Permissible List Views โ Grant access to specific list views.
Permissible Display Views โ Allow permission to view objects.
Permissible Edit Views โ Allow permission to edit objects.
Permissible Add Views โ Control access to adding objects.
Permissible Delete Views โ Allow permissions to delete objects.
Reports โ Assign report access.
Charts โ Enable access to charts.
Documents โ Allow access to relevant documents.
State Visibility
Enable this option to display the state of objects to client users. To hide certain states, enable state visibility and uncheck the states you donโt want to show.
Object states when state visibility is enabled.
When an object is in a state that is not visible to the client, the system will display the last state the object was in that is visible to the client.
This is useful for scenarios where the process has states that are internal to the organization, not relevant to the client.
