Introduction

The "Create Agent" action allows you to add a new agent to the TeamTracks agent list. When an agent is created in TeamTracks, an email with password details will be sent automatically to the new agent, unless configured not to.

Steps to create a "Create Agent" action

  • Switch to Admin Interface.

  • Select the desired track, open Actions page and click Create New.

  • Provide a name and description of your action.

  • Select CreateAgent as Action Type.

  1. Select the email address field from Email Address field dropdown.

  2. Select the agent name field from Name field dropdown.

  3. Select the title field from Title field dropdown.

  4. Select the roles field from Roles field dropdown.

  5. Customize Welcome Aboard Email: Customize the welcome aboard email that are sent to users when a login profile is created for them. You can add the subject to the "Custom Subject" field and the body to the "Custom Welcome Email" field.

    • you can use the **account_setup_link** placeholder in the email body, which will be replaced with a direct account setup link. The link text will display the actual URL. If the placeholder is not included, the system will automatically append the line:
      "Click here to set up your account."

    • After clicking the link, users will be taken to a secure Account Setup page, where they will be prompted to create a password. The link expires immediately once the password is successfully set.

  6. If you do not need to send the email containing the password details, enable the checkbox "Don't send email with password".

  7. Click on Create button.

Roles 

A major part of managing agent accounts is managing the role based access. For the Create Agent action to work, a multichoice field should be defined with options corresponding to Agent roles in the backend. If the assigned roles does not match, that role will not be assigned.

These dropdown menus display all the fields from the agent accounts track. Email address is the only required field to create an agent. It acts as a link between the agent accounts in the track and the TeamTracks agents.
